Background
Bertram (1958), the manufacturer of “Siang Pure” and “Peppermint Field”, aimed to enhance work practices as part of their HR Transformation initiative by adopting Agile Methodology and OKRs to better translate organizational goals into execution. However, the organization lacked a centralized tool to connect OKRs with the projects and tasks assigned to individual employees. This made it difficult to track how each project was progressing toward organizational goals and to gain clear visibility into team workloads. Bertram sought to implement a Project Management Tool to support this transformation.
Challenges
• Disconnect between Organization Goals and Execution: While OKRs were defined, there was no system connecting organizational goals with projects and tasks, making it difficult to see how ongoing work contributed to achieving those goals. • Limited Visibility into Impact Contribution: It was difficult to assess how much each team’s efforts and initiatives contributed to and aligned with organizational goals. • Limited Visibility into Team Workload: Management lacked a clear view of the projects and tasks assigned to each employee, making effective workload and resource allocation challenging.
What we did
The ASAP Project, in collaboration with QGen and Betram, is studying and planning according to the following steps:
• Understanding Goals & Work Practices: Collaborated with QGen to understand the OKR Framework and Agile Methodology that Bertram aimed to adopt, before translating these concepts into a structured way of working within the system.
• Designing the Structure & PoC: Developed standardized templates and project management structures aligned with Bertram’s goal-setting approach and Agile Methodology, enabling each team to operate under a consistent framework.
• ClickUp Implementation: Scaled the PoC into a standardized structure on ClickUp for managing projects across teams.
• Training: Worked with over 40 Assistant Managers and Managers to build a shared understanding of the system structure and how to manage their work under ClickUp.
Follow Up & Support: Provided ongoing support to ensure seamless adoption of ClickUp across organization.
Outcomes
Integrating Project Management Tool (ClickUp) with OKRs and Agile Methodology gave Bertram better visibility into the connection between organizational goals, project execution, and team workloads. • Improved OKR Progress Tracking: Connecting project execution with organizational goals enabled managers to track progress and assess goal achievement based on actual work data. • Clearer Visibility into Company Goals: Management gained a consolidated view of company goals and progress without relying on manual reporting. • Better Team Workload Visibility: Management could see the projects and tasks assigned to each team member, providing better insights for workload distribution and resource allocation. • Standardized Work Practices: Teams could manage projects under a consistent structure and shared way of working while supporting Bertram’s Agile Methodology.
The project created a clear relationship between project execution and organizational goals, providing greater visibility into progress without the manual report or frequent alignment meetings.
