BACKGROUND
Bhiraj Buri sought to establish a centralized Property Management System (PMS) to streamline operations across its diverse real estate portfolio. The organization faced challenges stemming from multiple software solutions, inconsistent workflows, and significant manual processes. A structured approach was required to define the PMS’s role within the broader IT ecosystem and to ensure alignment with long-term digital transformation objectives. To address this, we conducted a comprehensive assessment, roadmap planning, and vendor selection process, providing the client with a clear strategic direction and a well-informed PMS selection.

Through close collaboration with the client and vendors, a 3-year transformation roadmap was defined and the optimal PMS vendor strategically selected.
1. Comprehensive Assessment & Issues Analysis 30+ in-depth interviews with stakeholders across all business units were conducted to uncover key operational pain points. The issues were systematically analyzed, categorized, and prioritized, with a clear distinction between PMS-related concerns and broader IT challenges. Findings were then synthesized into a detailed Request for Proposal (RFP) to ensure vendors addressed the organization’s specific requirements.
2. IT Initiatives Roadmap & Strategic Planning All ongoing and planned IT initiatives were compiled and evaluated in collaboration with internal teams to establish a 2025–2027 transformation roadmap. This structured approach enabled alignment of IT investments with business priorities while eliminating redundancies.
3. PMS Vendor Selection & Budget Optimization A two-phase selection process was carried out: • Phase 1: High-level vendor analysis, feature set assessment, and preliminary budget estimation. • Phase 2: Rigorous vendor selection, including detailed RFP development, vendor evaluations, demonstration sessions, proposal assessments, and final negotiations. Using a structured vendor scoring framework, we ensured that selection criteria went beyond system capabilities to include long-term adaptability and strategic fit.
